Google forms basics for business communication — Part 1.

Feedbacks are unavoidable in each business lines, which helps a lot in understanding one’s own customer base. But in the perspective of customers, they are irritating. Let's take this scenario, we are ordering foods online, right?. The frequent request that we hear from the delivery persons is to give them a good rating in their respective apps in which they belong to. Now just imagine the situation of the customers. They have their delicious food which they admired from the food reviews or related sources in their one hand and a feedback form in others. Most of the users will choose to first-hand due to the weird sound from their stomach ‘err…. Just eat’. It's not about the type of product or service a customer decide, but the urge induced them to do this. Any type of business can come across this situation. Everyone should know how to handle this type of situation.

Data from the customers are much more valuable than the money given from them.

Just forget about the business giants who can afford a lot of technical supports or outsource this boring process. For a young mind who stand on their own, it's just a time-consuming one. But there are lots of free tools available which can ease this work. One such thing provided by Google is ‘Google forms’. If you have a Gmail account, then you are ready being started. Just click the nine dots in the top right corner of the page and choose google forms. Then click under ‘Start a new form’ ‘Blank’ or from any templates to get started.

There are five types of fields:

  • Text
  • Clicks
  • File
  • Match
  • Special

Text:

These fields provide flexibility to the customer to answer what ever comes to their mind. The text fields have a short answer type question which is single line answer and a long answer type question which is paragraph type. Be aware that the answer in this field may be misleading most of the time as customers don't have patience in typing text input in mobile devices. In order to specify correctly, turn on ‘Response validation’.

In the response validation, we can explicitly specify whether the response is a text (or) a number (or) with a limited length (or) following a pattern of the input (regular expressions). The custom warning text is also acceptable in google forms.

Note: Don't turn on ‘Required’ option in text fields. There will no problem if a customer didn’t answer a text based question. But compelling them to answer these type of questions may lead them to quit the feedback.

Comparing other response validation, the regular expressions are much more powerful and can limit exactly what we want from the customers. These are very much useful when validating a discount coupon code when entering it in a form. I have attached a table showing how to use the regular expression. If possible, I will try to post a separate handle for regular expressions

Syntax for regular expressions.

Just give different inputs to the below ‘form’ so that you can get a better understanding on how the form responds with the response validation turned on.
